Typically, workplace communication is crucial to organizations since it enables organizations to be productive and operate efficiently. Workers can encounter an increase in their morale, productivity, performance, and commitment if they can effectively communicate both up and down the communication channel in the company (Adu-Oppong & Agyin-Birikorang, 2014). Through the goal-setting theory, an organization can adequately achieve its communication process with its stakeholders, such as employees, customers, suppliers, and government. Edwin Locke originated the Goal-setting theory of motivation in 1960. The theory indicates that goal setting is fundamentally connected to job performance. It argues that specific and intricate goals, in combination with useful feedback, lead to higher and better performance of the task (Goutam, 2013). Set an organization's goals to show and guide workers regarding what should be done and how much effort is needed to be applied. Therefore, this paper reflects on the specific communication situation (medium) at the workplace using the goal-setting theory of motivation.

Analysis of Communication Medium at Workplace

Usually, the message is sent via a channel, which is the medium of communication. The choice of a given channel for transmitting the message can be substantial since there are various choices. The channel can either be verbal, nonverbal means, written, or use of electronics. For the written channels, the companies may select from the letters, reports, and newsletters, among others (Adu-Oppong & Agyin-Birikorang, 2014). For the verbal channels, the choices consist of face to face conversation, telephone, email, and computers, among others. Similarly, nonverbal gestures, body positions, dressing codes, and facial expressions can transmit various messages within the organization.

Generally, information plays a crucial role in the success of any organization. To deliver information accurately, communication is essential (Goutam, 2013). As mentioned above, communication is expressed in various forms, consisting of verbal, nonverbal, and written techniques. Significantly, the method applied to communicate the information is understandable by its recipient, or else the communication would be ineffective, leading to business failure. Typically, appropriate communication across the media is essential for the business to prosper.

The internal communication ensures the viability of the business. Unfortunately, without active communication between the company's management levels, the directives cannot be successful, reducing the business's growth and productivity. Again, proper communication in all media must be apparent and communicate the most accurate message from the sender to the recipient (Adu-Oppong & Agyin-Birikorang, 2014). Usually, the lack of proper communication channels, including a misunderstanding of directives between the senior management and junior employees, can cause sales reduction and a negative impact on business productivity and overall success.

Factors to Consider when Choosing an Effective Communication Channel at the Workplace

How people convey a given message will significantly rely on various factors. By selecting the most effective communication method, the medium will ensure the information is delivered as correctly as possible (Goutam, 2013). The internal communication team should consider some of the factors when selecting the most effective communication channel:

First, they must consider who the recipient is. If the recipient involves a group of people, then a group communication tool such as a meeting may be the most effective medium. However, if the recipient is an individual, then the use of phones or face to face is a suitable method. Second, they should also consider if immediate feedback is required to be collected, then they should choose a channel that enhances this factor, such as the use of face to face technique, use of telephone approach or even video conferencing may be appropriate (Adu-Oppong & Agyin-Birikorang, 2014). Third, they should consider the urgency of the message. If the message is conveyed is urgent, they should select a communication channel that will allow the message to reach the recipient faster. For instance, the sender may use the telephone or face-to-face approaches to convey the message.

Unfortunately, emails are not an effective medium for urgent communications, as the recipient may not read it immediately. Fourth, the sender should also consider the confidentiality of the information being conveyed. Indeed, communication should be regarded as private without exposing any information about an individual (Goutam, 2013). For example, the sender should prefer formal written and private letters to convey confidential information to the recipient or use of face to face way of communication. Hence, once these factors are taken into consideration by the senders, they may choose the most appropriate channel to convey the information to the recipient.

Importance of Proper Communication at the Workplace

Effective communication at the workplace plays an integral part in achieving the organization's goals. It improves the relationship between managers and employees, employees to employees, organizations, and stakeholders (Goutam, 2013). Proper communication through the goal-setting theory of motivation enhances workers' engagement and general productivity of the company. It also enhances team building and growth among the employees by sharing ideas and opinions, hence motivating them to work collaboratively and happily by boosting their morale as each employee feels very useful to the company's progress.

Similarly, proper communication encourages innovation in the organization since it values all the employees' thoughts, ideas, and opinions when developing their brand (Adu-Oppong & Agyin-Birikorang, 2014). If there is open communication between the managers and junior workers, they feel valued and motivated to be more creative and innovative. Lastly, effective communication increases efficiency and overall productivity of the company and act as a conflict resolution technique among the employees at the workplace.

Conclusion

In conclusion, effective communication in the organization is essential in creating and maintaining the workplace's working relationship. As an activity of transmitting the message from the sender to the recipient, it increases the organization's overall productivity and efficiency. Hence, all employees should apply effective communication to ensure self-development in the workplace.
