Overview
A profound healthcare system plays a central role in promoting a healthy and productive society. However, the effectiveness of a robust healthcare system is dependent on quite a number of aspects, including the collection, storage, and retrieval of patient information. This project is solely tailored to the improvement of the healthcare system’s electronic health records particularly by introducing a voice recognition system. The latter will ease the collection and access of patient information while eliminating the initially incurred transcription errors and cost. Overall, this project aims at improving the efficacy levels in the healthcare systems simply by enhancing and easing the collection and retrieval of patient information, an aspect that increases the number of patients a physician attends to in a given timeframe.
Objectives
This project - implementation of the voice recognition system- proposes to improve healthcare system’s technology, thus promoting effectiveness in the facilities’ scope of operations and more importantly, improve on patients’ safety and effectiveness. Particularly, the project aims at reducing the information access time while increasing the number of patients attend to by physicians. Also, the project seeks to eliminate the transcription errors that resulted from the conventional dictations involved when collecting and accessing patient information from the facilities respective information databases. Through an elaborate and effective data collection and retrieval processes, the project seeks to improve the facilities administrative and management processes while developing a sound patient support system to facilitate their diagnosis, treatment, and discharge processes.
General Approach
While the project is committed to improving efficacy in medical facilities, its approach is critical to ensuring that its aspects are handled with utmost professionalism and integrated into the healthcare systems at ease and as planned. The initial phase of this project will be the assessment and evaluation of the existing electronic health record to establish the appropriate way of integrating the new system to improve the data collection and access processes. The planning and analysis phase will be the next step in the assessment and evaluation of the existing electronic health record system. In this phase, the relevant stakeholders will establish the existing gaps and the likelihood of integrating or improving the existing system by incorporating the voice recognition system. The execution phase will be dependent on the first two phases and the availability of resources and infrastructure that are critical to facilitating the implementation of the new voice recognition system. Ultimately, the new voice recognition system will be tried and tested while assessing the level of efficacy as compared to the expected outcome. Improvement on the overall collection and access of patient information and thorough staff training will mark the close-out phase of this project.
Contractual Aspects
The enactment and implementation of this project is guided by a contract signed by the software company and the medical facilities ‘administrative heads in close consultation with the Ministry of health. The contract acts a proof of agreement where each party agrees to execute their assigned task, roles, and responsibilities to actualize the desired outcome. In this case, the software company agrees to integrate the voice recognition system into the medical institution’s information system within the specified duration and budget. Also, by agreeing to integrate the voice recognition system into the hospital’s system, the company guarantees the effectiveness of the system through its performance and functionality. The hospital administration also agrees to avail the necessary resources and training to facilitate the effectiveness of the voice recognition system.
Sponsors and Stakeholders
The federal and state governments will be the primary sponsors of this project. The two level of governance will provide the appropriate resource, particularly money and facilitate the tendering process. Stakeholders involved in this project include nurses, doctors, hospital management, patients, and support staff. Typically, stakeholders will facilitate the implementation of the voice recognition system while assessing its effectiveness in easing and promoting service delivery.
Scope Statement
In scope: Improving healthcare delivery through a digitized electronic health record system.
Out scope: Improving patient satisfaction through efficiency in the collection and retrieval of medical history
QualityIn this project, quality means implementation of the voice recognition system, its adoption in the data collection and retrieval processes, and increased efficacy in the information department. Success also means an increased number of patients attended to by a physician within a short span. Typically, to ensure that this project is successful, the respective staff needs to conform to the operational needs and guidelines of the implemented system. The administrative team also needs to ensure that only qualified and competent personnel interact with the system to optimize its effectiveness and functionality. Besides, suitable training resources should be availed to ensure that staff members are knowledgeable of the system, its functions, and ways to interact with it. Ultimately, the system should be updated regularly to optimize its functions.
Resources[explain the resources needed: people, equipment, etc.]
Issue ManagementWhile the voice recognition system is designed as simple and interactive tool, issues of malfunction may arise. In such a moment, the information department should be the first to contact to assess the system while establishing some of the possible issues that could have prompted the system’s downtime. Should the issue overwhelm the information department team, the institution through the information department should contact the software company by raising a ticket, e-mail, or even a phone call based on the urgency of the issue.
Scope Change Management
Scope change management is the management, control, and documentation of the likely changes that occur to a project. Usually, management, control, and documentation of such changes are important since it aids in the identification of the appropriate measures to complement the project’s scope of operation and success. The process of scope change management include a scope change management matrix, scope change impact analysis, and ultimately, scope change decision.
Vendor Management[explain how vendors included as part of the project will be managed]
Logistic and Administrative SupportThe effectiveness of the project largely depends on the logistical and administrational support offered by the medical institution. For instance, the medical institution should ensure that it’s equipped with knowledgeable and competent personnel to lower the training cost. Also, the administration should avail the suitable resources, including computers and a stable internet connection to facilitate collection, retrieval, and sharing of information across the various departments. More importantly, the hospital’s administration should encourage teamwork to ensure that each staff is well versed on how to competitively interact with the system.
